How to Create and Manage Locations in a Pharmacy

Locations represent the physical rooms or labs within your pharmacy, such as non-sterile labs, sterile compounding areas, or storage rooms. Defining locations allows you to assign compliance tasks accurately and maintain clear, inspection-ready documentation tied to where work is performed.

Pre-requisites

  • You must be signed in as an Admin.

  • You must have access to the Locations page at the pharmacy level.


Step-by-Step Instructions

Step 1: Open the Locations Page

  1. Sign in to Pestle as an Admin.

  2. Navigate to the Locations page for your pharmacy located on the navigation bar at the top of the page.

    1. This page displays all existing rooms and labs configured for the facility.


Step 2: Create a New Location

  1. Click the + Create Location button (green button in the top-right corner).

  2. Enter a Location Name.

    • Each location must have a unique name.

    • Include a clear identifier if locations are similar (for example, Non-Sterile Lab – Room 2).

Unique location names prevent confusion during task assignment and reporting, especially during audits.


Step 3: Add an Optional Description

  • Use the Description field to add notes or context about the location.

  • This is helpful when the purpose of the room is not self-explanatory or requires additional clarification.

Use descriptions to document special equipment, workflow limitations, or SOP references tied to the location.


Step 4: Configure Days Open

  • Review the Days Open settings for the location.

  • By default, days open mirror the pharmacy’s operating days (configured in Pharmacy Settings).

  • You can close a specific location on certain days, even if the pharmacy is open.

Example:
If the pharmacy operates Monday through Friday, but a non-sterile lab is always closed on Fridays, you can mark Friday as closed for that location.

Notes
When a location is closed on a specific day, tasks assigned to that location become optional for that day.


Step 5: Save the Location

  1. Click Create to save the new location.

  2. The location now appears in the locations table.

Once created, you can begin assigning compliance tasks that apply specifically to this location.


Why Location Setup Matters

  • Ensures tasks are assigned to the correct physical areas.

  • Improves traceability of compliance activities.

  • Supports clear explanations during inspections when auditors ask where tasks were performed.


Troubleshooting & Common Issues

Duplicate Location Names

  • The system does not allow multiple locations with identical names.

  • Add a numeric or descriptive identifier to resolve conflicts.

Tasks Not Appearing as Expected

  • Confirm the correct location is selected when assigning tasks.

  • Check Days Open settings if tasks appear optional on certain days.
